Worldwide Zoo Consultants is searching for a highly motivated, assertive, proactive and organized Executive Assistant, reporting and handling all aspects for our CEO. The Executive Assistant will be able anticipate needs and manage the CEO office when he is not available. You will be required to travel with the CEO and have flexibility to changing needs.
Represent & promote Worldwide Zoo Consultants in a professional brand image.
Resolve administrative problems by devising and accurately maintaining office systems, including data management and filing, preparing reports and financial data, compiling materials and maintaining employee database records.
Field telephone calls, enquiries and requests and handle them when appropriate; direct incoming email, post and correspond on behalf of the Executive Office.
Organize and maintain diaries, make appointments, organize and attend meetings to take minutes of meeting, provide general assistance during presentation and ensure the staff is well prepared.
Arrange all travel requirements for Executive Office and Projects, register team for events and schedule team meetings.
Coordination with the Facilities Management and property management to ensure smooth operations of the office and compliance with corporate requirements.
Receive and direct visitors at all levels of seniority.
Arrange travel, visas, accommodation and any other necessary documents for all employees and guests
Maintain supplies inventory by checking stock to determine inventory level, anticipating needs, placing and expediting orders and verifying receipt of supplies.
Carry out background research and present findings.
Handling personal, non-work-related items for the CEO.
To be successful for this position, you will be based in Abu Dhabi, UAE.
5+ years of Executive Assistant experience.
Possess strong organizational and verbal and written communication skills within the English language and must be able to conduct themselves in a professional, positive manner with co-workers, guests and clients.
Must have a strong attention to detail and be proactive, self-motivated, independent, a problem solver and be able to work with intermittent guidance; also calls for flexibility and the ability to multi-task and work well under pressure.
Sensitivity to confidential materials required.
Strong computer software, word processing, typing and internet research skills.
High school or college level course work desirable with good academic background
